Most agents have their best messages spread across their website, emails, listing presentation, social posts, notes, and old files. When someone needs a new post or page, it can be hard to know which wording is current.
So the message gets written again. A key benefit might disappear. A specific Compelling Reason might turn into a broad claim such as “great service.” A team member or assistant might make an honest change that no longer says what the agent meant.
Starting from scratch also wastes time. Instead of checking one stable message, you're reviewing a new version each time.
04The Simple Lesson
An approved message bank is one working source for the messages your business has checked and accepted. It doesn't need special software. A document or spreadsheet can work.
Each entry should include five things:
- Message name: A short label that makes it easy to find
- Approved wording: The exact words people can reuse
- Proof or source: The facts, process, review, or example that supports it
- Best uses: Where the message fits, such as your website, email, social posts, or presentations
- Last checked: The date the facts and wording were reviewed
Only mark a message approved after its facts have been checked and you accept the final wording. AI can help create or improve a draft, but an AI draft should not enter the bank until a person checks it.
